Doppelgone for Work terms of service
Version 1.1, in force from 29 October 2026 for pilot customers (version 1: 26 October 2026). Not yet reviewed by a lawyer; wording may change before general release.
These terms are between your company ("you", the "Customer") and Computron Tech (Pty) Ltd, a South African company trading as Doppelgone ("we", "Doppelgone"), for Doppelgone for Work. They apply from the moment an administrator of your Microsoft 365 tenant signs in and consents to our application. That electronic acceptance binds your company as a signature would.
Doppelgone for Work is for businesses and organisations only. It is not for consumers or private individuals. Our consumer products (the Doppelgone apps for Google Photos and iCloud Photos) have their own terms.
If South Africa's Consumer Protection Act still applies to you (for example, a small company below its turnover and asset threshold), nothing in these terms takes away a right that Act gives you. The clauses that limit our responsibility or place risk on you are in bold so you can read them before you accept: sections 5, 10 and 11.
1. Who can sign up
- The person who signs up must be a Microsoft 365 administrator (or hold equivalent authority) for your tenant.
- By signing up, that person confirms they are allowed to bind your company to these terms and to grant us access to your tenant's files.
- They must be at least 18 years old and acting for a business, not for themselves.
- You are responsible for everyone you invite (owners, admins, reviewers, viewers) and for keeping their access up to date.
2. What the service does
Doppelgone for Work finds duplicate and near-duplicate files in your company's SharePoint and OneDrive, and, when you approve, moves the copies you choose to Microsoft's recycle bin.
In plain steps:
- Your admin signs in with their Microsoft work account and consents to our Entra application.
- For the free audit we ask for read-only permissions. We inventory your files: names, paths, sizes, dates, hashes, owners and sharing. We read a document's text in memory to make a fingerprint of it (a MinHash signature, built so the text cannot be rebuilt from it), and for documents that look alike we compare short passages. We never store file contents.
- We group the duplicates we find and show you a report.
- If you buy a clean-up, your admin gives a second, separate consent to our clean-up application, which has write permissions. You review every group and choose what to keep and what to remove. Nothing moves until you approve it.
- Approved copies are moved to the Microsoft 365 recycle bin. We never delete anything permanently and never empty the bin.
The details of what we read, keep and send to our providers are in the Data processing agreement, the Security sheet and the Subprocessor list, which are part of these terms.
3. The free audit
- One free audit per company.
- The audit uses read-only access. It cannot move, change or delete anything.
- We may stop or limit an audit if a tenant is far above the size bands we sell, or if it looks like the service is being used for something other than a genuine clean-up assessment.
- The audit's numbers are estimates based on metadata, hashes and fingerprints. The space you actually recover depends on what you approve.
- Files in the recycle bin still count towards your Microsoft storage until Microsoft deletes them from the bin. Storage savings show in full only after that.
4. Purchases
| What | Price (USD, once) | Scanned size |
|---|---|---|
| Clean-up, small | $149 | up to 1 TB |
| Clean-up, medium | $349 | up to 5 TB |
| Clean-up, large | $799 | up to 20 TB |
| Larger tenants, MSPs, white-label | By quote |
- Your band is the total size of what we scan. If your tenant is bigger than the band you bought, we tell you before anything is charged more. We never move you up silently.
- A clean-up includes the review queue, removal to your recycle bin, per-item undo, a full audit log and one re-run within 30 days of the first run.
- An optional monthly plan ("Keep Clean") may be offered later with its own pricing. These terms will apply to it too.
- Checkout and invoices are handled by Polar (polar.sh), our reseller and merchant of record. Polar charges VAT or sales tax where it applies and issues the invoice. Polar's own terms cover the payment itself. Enterprise quotes may be invoiced directly by us.
- Prices are in US dollars. Polar may show a local currency at checkout.
5. Clean-up approval and your responsibility
This is the most important section. Please read it before you approve a clean-up.
- You decide what is removed. Doppelgone suggests which copy to keep in each group and explains why. Suggestions come from automated analysis, including an AI model, and can be wrong. You (or the reviewers you appoint) must look at the list before approving it. An approval by anyone you gave the reviewer, admin or owner role counts as your company's approval.
- Nothing moves without approval. A clean-up only acts on groups a reviewer has approved.
- Removed files go to Microsoft's recycle bin, not to Doppelgone and not to permanent deletion. Microsoft keeps them restorable for up to 93 days from the move. After that, Microsoft, not Doppelgone, deletes them permanently under its own rules. Doppelgone never empties the bin. The window can be shorter if someone in your organisation empties the bin or deletes the site, or if Microsoft changes its rules; that is outside our control. When Google Drive support arrives, the same applies with Google's 30-day bin.
- Undo. You can restore any item, group or whole run from inside Doppelgone while it is still in the recycle bin and our clean-up application still has your consent. After you remove that consent, you can still restore from the Microsoft 365 recycle bin yourself.
- Our safety rules. We move only to the bin; every group keeps at least one copy; right before each move we check again that the copy has not changed since the analysis and that the copy we keep can be opened by everyone who could open the one we move; and we log every action. These are the rules we work by. They reduce risk; they are not a promise that no mistake can happen, which is why review and the restore window exist.
- Backups and compliance are yours. You remain responsible for your own backups, retention policies, legal holds and any rules that apply to your industry. We skip files that Microsoft reports as on hold, but we cannot see every hold or record obligation you have. If a file must be kept, keep it out of the clean-up.
6. Acceptable use
You agree not to:
- connect a tenant you do not own or are not authorised to manage;
- use the service to access, remove or inspect files you have no right to;
- try to break, overload, probe or reverse-engineer the service, or to reach another customer's data;
- resell or white-label the service without a written agreement with us;
- use the service in a way that breaks Microsoft's terms or the law.
7. Fees and refunds
- Fees are due at checkout before a clean-up can run.
- Before a clean-up has run: ask for a refund within 14 days of purchase and we will refund you in full.
- After a clean-up has run: no refund, except where the law requires one. The free audit exists so you can see what you will get before you pay.
- Refunds are processed by Polar back to the original payment method.
- If a payment fails or is reversed, we may suspend the paid features until it is settled.
8. Suspension
We may suspend your access, with notice where we can give it, if:
- you break these terms or the acceptable-use rules;
- we believe the account has been compromised;
- Microsoft or a provider we rely on blocks or changes something so that the service cannot run safely;
- continuing would put another customer's data or our service at risk.
We restore access as soon as the reason is resolved. A suspension does not by itself end the agreement or trigger a refund.
9. Term, termination and offboarding
- These terms run from sign-up until either side ends them.
- You can end at any time by asking to leave in the product, by removing our applications from your tenant, or by emailing work@doppelgone.app. If you remove our applications, the end date is the day we detect it. A monthly plan stops at the end of the paid period.
- We can end with 30 days' notice, or immediately if you break these terms in a serious way or the service can no longer be provided (for example, Microsoft withdraws the permissions it needs).
- When it ends:
- we stop all scans and policies at once;
- you can download your final report and audit log for 30 days;
- we delete your organisation's data 30 days after the end date (or on request, sooner), as set out in section 10 of the Data processing agreement, except purchase records we must keep under tax law;
- files already in your recycle bin stay there under Microsoft's rules for the rest of their 93 days; we do not touch them, and Microsoft, not Doppelgone, deletes them after that.
- If we ever retire the product, we give at least 60 days' notice.
10. Warranties and disclaimers
- We will provide the service with reasonable care and skill, and as described in these terms and the documents they include.
- Otherwise the service is provided "as is". We do not promise it will be error-free, uninterrupted, or that it will find every duplicate or recover a particular amount of space.
- Doppelgone is independent of Microsoft and Google. We are not affiliated with, endorsed or sponsored by either. Microsoft 365, SharePoint and OneDrive are trademarks of Microsoft Corporation. If Microsoft changes its platform in a way that stops the service working, we may pause clean-ups until it is fixed.
11. Limit of liability
- To the extent the law allows, our total liability to you under or in connection with these terms and the documents they include, whatever the cause (contract, delict or otherwise), is limited to the greater of: (a) the fees you paid us in the 12 months before the event that caused the claim; and (b) US$1,000. This applies to the free audit and to free pilots too.
- We are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of a file you could have restored from the recycle bin while it was there.
- The limits in this section do not apply to loss caused by our fraud, wilful misconduct or gross negligence, or to any liability the law does not allow to be limited.
- Nothing here limits rights you have under South African law that cannot be excluded.
12. Indemnity
You will cover us against claims by third parties, and the reasonable costs and losses that follow, that arise from files or tenants you had no right to connect, from instructions you give us that break the law, or from your breach of section 6. We will tell you promptly about such a claim and let you take part in handling it.
13. Confidentiality and data
- Each side keeps the other's non-public information confidential and uses it only for this agreement.
- How we handle your data, including personal information in your files and about your users, is set out in the Data processing agreement. If the DPA and these terms disagree about personal information, the DPA wins.
- Confidentiality lasts for the agreement and 3 years after it ends, and longer for anything that stays a trade secret.
- We may use aggregated, anonymised counts (for example, how many groups were found and how often reviewers overrode a suggestion) to improve the service. Never file data, file names or anything that identifies your company or people.
- We will not name you as a customer, or publish a case study about you, without your written consent.
14. Governing law and disputes
- South African law applies.
- Before going to court, both sides agree to try to resolve any dispute by discussion in good faith for 30 days. Either side may still ask a court for urgent relief at any time.
- The High Court of South Africa, Gauteng Division, Johannesburg, has jurisdiction. Both sides also consent to the jurisdiction of the magistrates' court for claims within its limits, even if they would otherwise be above them (section 45 of the Magistrates' Courts Act).
15. Changes to these terms
- We may update these terms. We will email the account owner at least 30 days before a material change takes effect. Continuing to use the service after that date means you accept the change.
- If you do not accept a change, you can end the agreement before it takes effect, and we refund any clean-up you paid for that has not run.
16. General
- These terms, the Data processing agreement, the Security sheet, the Support terms and the Subprocessor list are the whole agreement between us for Doppelgone for Work. A signed pilot agreement or Enterprise quote is part of it too.
- Which document wins: for personal information, the Data processing agreement; then a signed pilot agreement or Enterprise quote; then these terms; then the other documents.
- If part of these terms is found invalid, the rest still applies.
- Neither side is liable for failures caused by events outside its reasonable control.
- Not enforcing a right straight away does not waive it. Neither side may transfer this agreement without the other's written consent, except that we may transfer it to a company that takes over Doppelgone for Work and agrees to these terms.
- Sections 5, 9 (deletion), 11, 12, 13 and 14 survive the end of the agreement.
- Notices may be sent by email and count as written. Notices to us: work@doppelgone.app. Notices to you: the account owner's email address.
