Setting up the free audit
Ten minutes for a Global Administrator, then about an hour of waiting for a tenant of 10,000 files (longer for bigger ones; we email you when it is done).
1. Sign in with Microsoft
Sign in with your work account. Doppelgone uses Microsoft’s sign-in; we never see your password. Signing in creates nothing in your tenant yet.
2. Grant access as the tenant admin
On the next page, Grant access as the tenant admin sends you to Microsoft’s admin consent screen. Only a Global Administrator can approve it. Microsoft lists the permissions; these are the ones, and why:
| Permission (application, read-only) | Why |
|---|---|
User.Read.All | List the people in the tenant, to know whose OneDrive is whose and who has left. |
Group.Read.All | Expand groups, so we can tell who can open a file before suggesting its copy. |
Sites.Read.All | List SharePoint sites and their libraries, read file names, sizes, dates and checksums. |
Files.Read.All | The same for OneDrives, and to read a document’s text in memory when two look alike. |
None of these can change, move or delete anything. Write permissions are requested separately, and only when you buy a clean-up. The consent shows up in your Entra admin centre under Enterprise applications, where you can revoke it at any time.
3. Choose what is in scope
Every SharePoint library and OneDrive in the tenant is in scope by default. Under Details on your organisation’s page you can take any drive out; the audit and any later clean-up never touch it.
4. Start the audit
One button. The inventory reads names, sizes, dates and checksums from Microsoft Graph, never the files themselves. The analysis then reads Word, Excel, PowerPoint, PDF and text documents in memory to compare their wording, keeps a fingerprint and discards the text. You can close the page; you get an email when the report is ready, with a link to it.
5. Read the report, invite the people who should see it
The report shows what can go safely, what needs a look, by library, person and file type, plus the departed staff, stale files and version sprawl. Invite colleagues as viewers to read it, or as reviewers if they will approve a clean-up later. Save it as a PDF from the page.
Where removed files go, and who deletes them
The audit removes nothing. If you buy a clean-up, every file your reviewers approve is moved to your own Microsoft 365 recycle bin (the site’s or the OneDrive’s), where it stays for 93 days and can be restored by you from Microsoft’s own interface or from Doppelgone. After 93 days Microsoft deletes it, not Doppelgone. We never empty a recycle bin and never delete permanently. The space counts as freed only once the bin empties, so plan for that delay.
Revoking access
Entra admin centre → Enterprise applications → Doppelgone for Work → Delete, or remove the permissions. Any scan or clean-up in progress stops within a minute and says so; nothing is changed after that. Your organisation’s data with us is deleted within 30 days of a request, sooner if you ask.
